PC Club: How to save a copy of every e-mail

QUESTION: I have a dilemma. I use MS Windows XP with AT&T Yahoo. In my profession as a publisher of in-house newspapers, I continually utilize the “Save As a Draft” email feature. I use this as deadline reminders for the Marketing Departments and/or Outside Advertising agencies. Normally there are three reminders per advertising month. Until recently, the drafts remained in the folder – all of a sudden, as I emailed from the draft folder – the emails were sent, but the drafts disappeared. This is causing me to rewrite the emails and dispensing valuable time. What happened? I received absolutely no help when calling AT&T. If this dilemma is no longer workable at AT&T, is the solution available elsewhere? Tony

QUESTION: I am using Outlook Express for my e-mails. Is there a way to receive e-mails “ONLY” from people that are in your address book?

PC Club: Many of us are getting frustrated with spammers and are resorting to various measures including the use of Anti-Spam software which isn’t always free or unobtrusive. Another way to prevent unwanted or unsolicited email is to set up a Whitelist, which is what you want to do.

Stump: How to send a large calendar by e-mail

Question: I use the calendar template in Microsoft Word and send it out as an e-mail attachment to a lot of people. It is a fairly large file and not easy to read. Is there a better way to create a calendar attachment that would be small and easy to read?

NOCCC: As you use the Microsoft Word program, you can download and use any one of a large number of the Microsoft Word calendar templates from this URL: tinyurl.com/3eydbj.

You should save the original template file and work on a copy. With the file open in Word, go to the month you wish to use, click on the first day and start entering your schedule. When finished, save the file.

The next step is to create a Portable Document Format document, also known as a PDF file. The Adobe Company invented the format. Their Acrobat 9 is the premier version of this type of software, and the one I normally use. But it’s also the most expensive.

There are several less expensive tools that will do what you need. The $50 Solid PDF Creator Plus from soliddocuments.com let’s you “print” from Word to a PDF file. DrawLoop, at drawloop.com, lets you upload your Word document and save it as a PDF – for free. There is a good list of other options at tinyurl.com/yrsllb.

Choose, download and install one of the conversion tools. Then save your Word file as a PDF document.

The PDF should be considerably smaller, and anyone who has the free Adobe Reader program will be able to read it. Adobe Reader can zoom in on the calendar, making the text large and easy to read. – Jim Sanders, President, NOCCC

Make Outlook Express work with AT&T e-mail

QUESTION: For some time now I have been receiving this message from Yahoo and it seems that anything I try to do doesn’t solve this problem. I use Outlook Express. Here is the message:

Dear AT&T Yahoo! Customer,

We noticed that you are accessing email using non-secure settings in your email software. We would like to ensure that your AT&T Yahoo! Member ID, password, and email messages are transmitted securely between your mail software (such as Outlook or Outlook Express) and the AT&T Yahoo! Mail servers. In order to meet this need, please enable SSL via the instructions that are available on the Help site.

Since multiple email notifications have already been sent out about this, we request that you please make the necessary changes immediately. Remember, you need to make these changes if you want to continue to send/receive email using a mail client. Thank you for your cooperation ~ AT&T Yahoo! Customer Support

NOCCC: The main reason you have been receiving this message is an effort to make it more difficult for the bad guys to send unsolicited e-mail, a.k.a. SPAM. For years, e-mail servers used the same two ports (connection addresses #25 and #110) to send and receive e-mail. How to convert Outlook Express; Checking drives for errors

Question: I have been using Outlook Express for many years and I also own Office 2000, which contains Outlook. I want to convert from Outlook Express to Outlook, but I also want to keep the address book and copies of e-mails I have stored in “Express.” How can I switch over to Outlook and also retain all the items in my “Local Folders”?

Item No. 2: I have an external Hard Disk (Western Digital WD120B005-RNN). Something happened that won’t allow me to access the data. When I plug it into the USB port the drive appears in “Explorer” but no data shows up. I think the directory is fouled up somehow. Is there a way to correct this?

NOCCC: To upgrade from Outlook Express, first go to the “File” menu in Outlook, and click “Import and Export.”

The Import and Export Wizard opens and presents a list. Click “Import Internet Mail and Addresses,” and then click “Next.”

How do you autofill addresses in Outlook?

Question: I also have problems with Microsoft Outlook 2000. I had Outlook on Windows 98 and when I started typing in an email address it would automatically fill them in. This saved a lot of time. I can’t even find any autotyping category to make the change. Can it be done on this version and how? Second problem is that the signatures box won’t let me access a signature let alone create one. What’s wrong with this Outlook program?

NOCCC: As it came from Microsoft, Outlook 2000 didn’t have the auto-complete feature you want. There may be some add-in or add-on software for Outlook 2000 that gives it that ability. It does have a feature that might best be called auto-choose. The first requirement for auto-choose is to have entries in your Contacts list. Ask iGirl: Five tips to limit spam

Q: I have a PC that runs on Microsoft XP and uses Outlook Express for email and have Norton Internet Security. How do I permanently block unwanted spam? Currently I go to “message” on the toolbar of Outlook Express and hit the “block” button, but that does not work. The same message-sender continues to send unwanted emails. Contacted Norton and they said it is a Microsoft issue. Please help in blocking unwanted spam.

iGirl: Outlook Express might actually be blocking a different address everyday. Spammers can make a message appear to be from “James Smith” when it’s actually from “taking@vangtage.com.” Spam robots can pick a different e-mail address everyday, fooling Outlook Express every time.

Here are a couple of suggestions for limiting your spam:

  1. Check the Web site of your e-mail provider. Big providers like Verizon, Earthlink, Apple, Yahoo and AOL frequently offer free spam filter software.
  2. Report spam to your service provider. This will help you and other people who get e-mail through your service provider.
  3. Install third-party spam-blocking software. A Microsoft Web page entitled “Controlling Junk Mail in Outlook Express” points out Firetrust’s MailWasher Pro as one option.
  4. Switch to another e-mail program. If you already use Firefox, you might want to try Thunderbird, the e-mail counterpart to the popular Web browser.
  5. Upgrade to full-blown Outlook. Since this is a pricey option, consider this only if you need or want the rest of the Microsoft Office suite.

Stump: Control Yahoo! advertising

helpme!Q: I have Windows XP. I use AT&T Yahoo Mail Classic. I click on the Mail button. Then I click the Inbox. I don’t get a list of my e-mails but an advertisement. I have to click on the Inbox a second time to get a list of my e-mails.How do I get rid of the extra step. Help! ~ Lawrence Lang
